Write meeting minutes with decisions, owners, and dates

Useful meeting notes help someone who missed the discussion understand what changed and what happens next. For an ordinary team meeting, distinguish decisions, actions, and open questions. Follow your organization's own review and retention process.

Separate a suggestion from an agreement

Suppose a fictional team agrees to publish a help page on November 4. Mia will draft three answers by October 28; Luis will test the links by October 30. Someone suggests adding a video later, but no decision is made.

The page launch date is a decision. Mia's and Luis's assignments are actions. The possible video belongs under an open question or relevant discussion context. Writing Add video — Mia — November 4 would invent an assignment and deadline.

Use a repeatable structure

Meeting: Help page update
Date: [meeting date]
Attendees: [names]
Purpose: Agree the next help-page release

Decision: Publish the text help page November 4.
Action: Draft three answers | Mia | October 28
Action: Test links | Luis | October 30
Open: Whether to add a later video; owner and date to confirm.

Confirm missing details

An action is easier to follow when it has a specific output, an accountable owner, and an agreed date. If someone says soon, confirm a date or mark it Due date to confirm. If an owner has not been agreed, say so.

Prepare the draft while details are fresh. Invite factual corrections using the agreed review process; do not claim everyone approved the record simply because you sent it. Track task completion separately from the original meeting agreement.

Keep the record appropriate

Include the purpose and enough context to make decisions understandable. Leave out speculation about motives and irrelevant private information. Store the record where the intended team can find it, and obtain appropriate permission before recording a meeting or using a transcription service.

This structure is for practical team recaps. Formal board or regulated records may have specific requirements that need a different process.
